Hyde Square Task Force - Special Projects and Team Administrator

The Hyde Square Task Force is an award-winning youth development and social change organization. Through high-quality arts, and academic and leadership programming, HSTF serves over 1000 youth in the Hyde/Jackson Square area of Jamaica Plain and Roxbury. Our mission is to develop the skills of youth and their families so that they are empowered to enhance their own lives and build a strong, safe, and vibrant urban community.

Position: Special Projects and Team Administrator, full-time, 40 hours/week, reports to the Senior Advisor for Strategy and Development and works closely with the Senior Leadership Team (Executive Director, Deputy Director, and Senior Advisor for Strategy and Development) and with the development team (Senior Advisor for Strategy and Development, Manager of Communications and Events, and Manager of Individual Funding and Sponsorships).

Job Summary: HSTF is expanding its scale and impact and is now creating a team to increase its visibility and community of individual donors and corporation sponsors. This is a terrific opportunity for experienced, creative and highly motivated professionals to make a significant contribution to an organization dedicated to transforming youth and communities.

The Special Projects and Team Administrator's responsibilities include supporting the Leadership and Development teams and taking on special projects as needed. The Administrator will enhance the efficiency of the teams by supporting strategic planning, administration, communications and development, including Capital Campaign planning. Responsibilities include complex scheduling, writing, research, analyzing, preparing publicity documents, and attending special events. This is a new position and will provide the Administrator with opportunities to further refine its scope.

Responsibilities:

  • Work closely with the Leadership Team to support their strategic, management and development efforts.
  • Work closely with the Development Team to support efforts to broaden the community of supporters of HSTF's work.
  • Responsible for completing special projects in agreed upon timeline.
  • Write comments and speeches to be presented at public events.
  • Conduct research as needed about issues affecting the organization, youth leadership, community organizing, funders, fundraising, and other topics as determined.
  • Write correspondence to important partners, constituents, and donors.
  • Schedule executive meetings, site visits, and travel plans.
  • Assist Leadership Team with meetings and preparing documents and presentations.
  • Attend to phone calls and emails from constituents, partners, and donors.
  • Conduct research and provide analysis when needed.
  • Update Leadership Team about appointments, schedules, and other work needing attention.
  • Write reports, keep data files, and manage sensitive information as required and requested.
  • Record minutes and/or take detailed notes at meetings as requested.
  • Assist with setting agendas, attend Board Meetings, record Board notes, and work with Board Members on special projects and in special committees as appropriate.
  • Other duties as assigned by either the Leadership team or the Development Team.

Required Qualifications:

  • Bachelor's degree and 3+ years of work experience.
  • Highly developed written and verbal communication skills.
  • Very strong interpersonal skills.
  • Ability to manage multiple tasks simultaneously.
  • Prior experience managing independent projects from conception to completion.
  • Highly developed computer skills including Excel, Powerpoint, and Word.
  • Research and analysis skills.
  • Diplomatic and able to work with confidential information.
  • Energized by taking on a wide range of duties and projects. Quick learner.
  • Must have a proven track record of efficiency, resourcefulness, and reliability.
  • Capable of working closely in a team while still working autonomously on specific sections of a project.
  • Highly organized, productive, detail-oriented, and able to prioritize.
  • Sense of humor. Creative.
  • Some night and weekend availability.

Preferred Qualifications (but not required):

  • Bilingual Spanish/English preferred.
  • Driver's license and car access preferred.
  • Prior executive assistant experience.
  • Prior nonprofit experience and/or knowledge about youth concerns and programming in city neighborhoods.

Salary is commensurate with experience.
