Herbert Berghof Studio - Project Manager

HB Studio, New York’s acclaimed acting studio founded in 1945 in the heart of Greenwich Village by actor/director Herbert Berghof and renowned actress and master acting teacher Uta Hagen, seeks a dynamic, organized, experienced theater professional to serve a one-year contract as Project Manager. This central role will support the Executive Director and spearhead implementation of the organization’s new strategic plan, which includes the Fall 2013 launch of an updated studio class curriculum, the purchase and implementation of new online registration software, the development and launch of a new website and marketing brand, and the implementation of a sophisticated organizational marketing strategy leading up to the Fall 2013 re-launch.

Essential Functions:

  • Manage purchase, customization, implementation and integration of online registration system working with Vendor Sales Reps and Technical Support. Work collaboratively with the Studio’s Executive Director, Operations Manager, Finance Coordinator, and Registration Staff to adapt and test the new system’s functions.
  • Work with Development Manager to coordinate and ensure connection with HB’s donor tracking system.
  • Work with Finance Coordinator to test efficacy of reports generated from system and to integrate with payroll and accounting system.
  • Manage migration of existing student data to new registration system as needed and devise processes for storing, accessing and applying data history vis-à-vis the new system.
  • Oversee process of populating system with new class and instructor data and Studio space schedule, training and supervising program and registration staff.
  • Coordinating with Operations Manager and Night Manager, train and supervise key registration staff in use and maintenance of new system.
  • Coordinate with web designer and Studio web master to manage content upgrade of Studio web site and integration of online registration system.
  • Organize and manage timeline for completion of new class descriptive content. Coordinate with graphic designer to manage design and production of new Studio class brochure.
  • In consultation with Executive Director, coordinate with marketing consultant and graphic designer to plan initial branding and marketing approach for Fall curriculum launch via print, online, social media and ancillary placements. Work with Operations Manager and Development Manager to coordinate execution.
  • Once implemented, beta test registration system, web site, and marketing plan. Supervise upgrades and further development of marketing strategy.
  • Collaborate with senior leaders and administrative staff to ensure a coherent, integrated approach to fundraising, publicity, and marketing for HB and its sister organization, the HB Playwrights Foundation.
  • All other duties as assigned.

Qualifications/Basic Job Requirements:

  • BA required. 1-2 years prior nonprofit project management or production experience or training, with preference in NYC performing arts.
  • Highly organized, creative self-starter, detail-oriented, accurate, and meticulous, with excellent follow-through.
  • Excellent time management skills, able to prioritize and manage multiple tasks and responsibilities, meet deadlines, assimilate and interpret information.
  • Excellent verbal and written communication skills.
  • Outstanding interpersonal and leadership skills to effectively communicate at all levels in this performing arts community; coordinate and supervise staff, train and instruct.
  • Superior computer skills, including database systems experience, web and social media, Microsoft office and Mac OS X. Marketing experience, Filemaker and Salesforce expertise a plus.
  • Excellent judgment on matters of etiquette and protocol.

Scope of Responsibility & Positions Supervised:

Reports to Executive Director of HB Studio; coordinates with Operations Manager, Finance Coordinator, Development Manager. Works with Board- or ED-appointed consultants and designers to devise integrated marketing strategy. Supervises registration and program staff in implementation and execution of new system.

Special Working Conditions:

Occasional weekend and evening work may be necessary to meet key deadlines.
