Reports To: Foundation Development Director
Job Description Summary
The Office Administrator provides overall administrative support to the Foundation team. Primary responsibilities include:
-
processing all gifts, grants and contributions
-
maintaining the donor database
-
running reports and preparing presentations
-
organizing office operations, procedures, and files
-
maintaining inventory of printed materials and office supplies
-
staffing foundation events
-
acting as initial contact person for internal and external customer service, including acting as Foundation receptionist
-
scheduling Foundation meetings

Primary Job Responsibilities
-
Processes all gifts, grants and contributions and follows strict accounting procedures.
-
Maintains the database ensuring protocols for entering and maintaining information are consistently followed.
-
Routinely runs detailed, specific reports and prepares presentations.
-
Organizes office procedures and serves as the primary point of contact for inquiries to the Foundation. Maintains meeting schedules for Foundation committees.

Maintains files – written and digital – for the Foundation.
-
Maintains an inventory of printed materials and office supplies.
-
Staffs events.
-
Prepares mailings.
All oth All other duties as assigned.
Position Qualifications
The ideal candidate:
-

has high professional standards, and communicates with diplomacy and tact;

has excellent computer skills, including strong competency with Microsoft Office Suite, Google+, and at least one database program (experience with Donor Perfect is highly desirable);

has ability to work collaboratively and independently to achieve department goals;

has excellent written and verbal communication skills;
-
is a team player who enjoys working collaboratively to further the performance of the overall team;
-
is able to juggle a variety of tasks, clearly defining priorities, and manage time efficiently; and
-
has a Bachelor’s degree with a minimum of 5 years of experience in office administration (preferably in a development or foundation office).
