Museum of the African Diaspora - Full Charge Bookkeeper
POSITION PURPOSE: The Museum of the African Diaspora (MoAD), a San Francisco-based not-for-profit seeks a full time full charge bookkeeper with a clear understanding of not-for-profit GAAP and experience with grant reporting. You will be responsible for processing accounts payable, membership invoicing, bank deposits, bank reconciliations, preparing business compliance filings such as 1099’s, and sales tax. The position requires a detail-oriented, highly motivated, self-starter who has the ability to prioritize and multi-task. Experience with nonprofit arts organizations a plus.
ESSENTIAL RESPONSIBILITIES: FINANCIAL REPORTS

Provide transactions and budget-to-actual reports to department managers upon request

Monitor deviations from budget and inform management.

Ensure that quarterly and yearly taxes are paid on time: business, property, sales, payroll, employment security, insurance, federal withholding.
ACCOUNTS PAYABLE
-
Check invoices for accurate extensions and product assignments.

Pay verified bills, taking supplier discounts when advantageous for cash flow. Maintain good credit.

Enter all COD invoices into the books in timely manner.

Monitor accounts receivable, ensuring timely payment and coordinating with appropriate departments.
MEMBERSHIP RECORDKEEPING

Reconcile membership dues received to member database, and record accurately on the books.
MONEY-HANDLING & BANKING
-
Prepare bank deposits and enter daily deposits (cash & cards) to ensure timeliness and accuracy. Train other employees designated by the ED or CFO as back-up.

Ensure deposits in the bank are reconciled with the books.

Monitor cash account (CD’s, Money Market, Checking, etc.) balances
-
Work with CFO to provide bank reconciliations. PAYROLL
-
Process biweekly payroll (timely, accurate, correct deductions, maintain records on accrual and use of paid time off).

Enter summary journal entries for each payroll. "X Answer staff questions on payroll and benefits.

Process 1099’s and 1096’s at year-end.
EDUCATION AND SKILLS REQUIRED:
-
5+ years of nonprofit bookkeeping experience "X Experience using QuickBooks required

Pro-advisor certification in recent versions a plus

Proficiency in MS Word, MS Excel and MS Outlook

Knowledge of other accounting systems helpful

Willingness to take ownership of basic accounting duties

Excellent written and verbal communication skills

Ability to work with a diverse staff and vendors
