Development and Events Coordinator, American Theatre Wing
For nearly a century, the mission of the American Theatre Wing has been to
serve and support the theatre by celebrating excellence, nurturing the
public's appreciation of theatre, and providing unique educational and
access opportunities for both practitioners and audiences. Best known for
creating The Antoinette Perry "Tony" Awards®, now presented with
The Broadway League, ATW has developed the best-known national platform for the
recognition of theatrical achievement on Broadway. Yet ATW's reach extends
beyond Broadway and beyond New York, with grant programs and educational and
media work that offers the very best in theatre to people around the world.
Responsibilities:
The Wing seeks a full-time Development and Events Coordinator to join its
energetic and committed staff. This position manages and supports events
ranging in size from small cocktail parties to the annual gala. Additionally
the Coordinator will work with the Director of Development on the execution of a
multi-faceted development plan. The Coordinator will gain knowledge of
fundraising, event management and valuable experience working within the
nation’s oldest theatre support organization. The Coordinator should be
highly motivated and should demonstrate excellent communication and analytical
skills, meticulous attention to detail, enthusiasm for learning, and willingness
to take on large and small tasks. The American Theatre Wing offers competitive

Special Events:

Planning, producing, promoting and analyzing cost-effective events that raise
significant funds for the American Theatre Wing’s programming, heighten
awareness of ATW and its mission, and engage new audiences and donors;

Manage all aspects of events, including: researching viable sponsors and
volunteer leadership, income and expense tracking, event timelines and
donor/guest list management, invitation production and mailing, vendor
management and follow up phone/email requests to prospective supporters;

Managing the event budget by setting revenue goals and working with
contractors and vendors to keep event costs within parameters;
-
Working with staff, Board of Directors, and volunteers to solicit event
sponsorships and in-kind donations, and to sell tickets, tables, and ads;

Record responses and event income in SalesForce database and invoice and
acknowledge donors and sponsors as required;

Help manage day-of event operations for all the organization’s events
and galas.
Other Development Work:
-
When the events calendar permits, this position will also support fundraising
initiatives relating to annual fund, major donor and Board cultivation and
stewardship activities, and researching, drafting, and assembling grant
proposals/reports as assigned;

Maintain donor database including gifts entry/acknowledgment, imports,
reports, updating all donor contact information, working with finance department
to reconcile records, and organize and maintain paper and electronic files
related to fundraising and events;

Research prospects;

Coordinate and produce development-related and donor mailings, including
solicitations, invitations, thank you letters, and introductory materials.
Minimum Qualifications:

A bachelor's degree and at least 3 years of experience in Event Planning
and Fundraising;

Excellent communicator with superior verbal and writing skills and strong
follow-through;
-
Ability to work independently, using good judgment, resourcefulness, and
initiative, with the ability to sustain productivity and accuracy under
pressure;

Outstanding organizational, analytical, and record-keeping skills; impeccable
attention to detail is a must;

The ability to be both a leader and team player, and work with staff as well
as Trustees and volunteers, representing the organization in a positive,
enthusiastic, and charismatic manner;

A passion for the agency's mission of serving and supporting the
theatre;

Advanced knowledge of Microsoft Word, Excel, and fundraising database
programs;

Must be available to work occasional extended hours, including evenings and
weekends when necessary, in order to successfully execute all events and meet
deadlines.
Salary range competitive, depending on experience. Generous benefits package
including health, dental, and vision insurance, holidays, vacation, and
sick leave. This is a full time position that reports to the Director of
