We are seeking a proactive, energetic, and articulate Special Projects Assistant to provide City Year’s Chief Finance & Administrative Officer (CFAO) with exceptional administrative and project management support. This position requires a well-organized and versatile individual that possesses the ability to work collaboratively with internal and external teams and autonomously on self-directed projects. The Special Projects Assistant will at times lead on innovative, cross-departmental projects that often involve external relations and outreach and are at the forefront of City Year’s organizational focus. The successful candidate will be skilled at managing multiple priorities and deadlines in a fast-paced, dynamic environment and will exercise discretion when handling confidential communications.
The Special Projects Assistant has the unique opportunity to support CFAO and work closely with other members of the Senior Leadership Team. This position also interfaces frequently with members of the Board of Trustees as well as staff members throughout the country. This is an ideal role for a candidate interested in learning more about the strategic planning and operations of a national, entrepreneurial nonprofit.
Responsibilities
Daily responsibilities will include (but are not limited to): managing calendar for the CFAO and the CIO, screening calls, staying apprised of current correspondence, and serving as a liaison between City Year’s staff, external high-profile contacts and the CFAO.
Other responsibilities will include: managing the flow of contract documents, drafting memos, emails and presentations for high-profile individuals or organizations, performing general administrative tasks, including making travel arrangements, for Finance and Information Technology departments, welcoming visitors, representing the CFAO when called upon, coordinating Board of Trustee Finance, Audit, and Investment committee meetings and recording minutes.
Qualifications
- Two to four years of work experience at the Administrative Assistant level
- Minimum requirement of a Bachelors Degree
- A demonstrated ability to flexibly work in a fast-paced, entrepreneurial environment
- Ability to meet concurrent deadlines and organize time and priorities appropriately
- Effective written, electronic, and verbal communication skills
- Strong work ethic, exuberance and team work
- Superbly organized and detail-oriented
- Command of all Microsoft Office applications, with high-level proficiency in Outlook, Word, Excel, and PowerPoint
- Non-Profit experience is preferred
