Hispanics in Philanthropy (HIP) is a transnational network of more than 500 grantmakers, donors and philanthropic leaders who share a commitment to improving resources for the Latino civil sector, encouraging the participation of Latinos in philanthropy and increasing the effectiveness of philanthropy through greater equity and diversity. The organization and its membership are committed to increasing the share of philanthropic dollars targeting Latinos in the US and abroad.
Responsibilities
The Coordinator for the Office of the President provides executive-level administrative support to the President. She or he is the public face of the President’s office and must be able to effectively interface with all level of the organizations and of HIP’s network. The Coordinator plays a key role in managing the workflow of the President and helps to ensure that the President is able to meet her priorities. She or he also provides general support to other teams on staff as needed and is expected to take on special projects, including event planning, editing and grantwriting, drafting of communication materials, participation in screening and selection of new hires, and other tasks as needed. Because of the broad range of the Coordinator’s responsibilities, she or he should be highly flexible, should enjoy the challenge of working in new areas and on multiple projects, and should be able to approach new challenges with a quick-minded, can-do attitude.

Executive Support

Understand the President’s priorities and assist in managing workflow so that the priorities are met

Manage & compose President’s correspondence

Manage President’s calendar, schedule, and contacts

Arrange President’s domestic and international travel

Complete President’s expense reports

Act as the public face of the President’s office and as liaison to the rest of staff on all issues concerning the President’s work

Support HIP Board of Directors meeting preparation

Manage staff birthday and anniversary calendar, send out cards and presents
-
Suggest new and better ways of organizing workflow to improve efficiency
Additional Responsibilities

Assist with event-planning, especially for West Coast events

Support Human Resources, including hiring process
-
Assist HIP’s Communications, Development, and Programs Teams with special projects as needed

Support HIP’s technology needs, specifically website and Salesforce administration
-
Manage basic office administration, including mail, office supplies, etc.
Qualifications
-
Bachelor’s degree
-
Preferably some administrative support experience
-
Preferably some event-planning, fundraising, and other relevant professional experience

Excellent verbal and writing skills

Excellent ability to think critically and strategically

A positive, can-do attitude, resourceful and creative
-
Committed to getting the job done

Highly independent, willing to make decisions and take responsibility for them

Desire to take ownership of the work

A team player with highly-developed interpersonal skills

Bilingual English/Spanish preferred
