Baruch College - Stewardship Associate
Baruch College is seeking a Stewardship Associate within the Office of College Advancement. The Office of College Advancement (“OCA”) is responsible for fundraising and alumni relations for Baruch College. The Stewardship Associate will report directly to the Director of Donor Relations and will work in close collaboration to fulfill Donor Relation’s mission: to thank and provide stewardship to all donors to Baruch College and to serve as the donors’ advocates.
The primary duty of the Stewardship Associate will be to manage, research, draft and track donor acknowledgement letters integral to the division’s stewardship efforts and serve as the campus coordinator for gift acknowledgements from various academic and administrative personnel. The Stewardship Associate will also serve as the primary liaison with student beneficiaries in stewarding scholarship and award donors. Additionally, s/he will help the Director of Donor Relations with endowed reporting, board relations, and donor recognition programs including gift societies for leadership and planned giving, and implement a variety of benefits, stewardship communications and donor relations events associated with these programs.
Responsibilities:
Acknowledgment

Manage the donor acknowledgement process for annual fund donors, gifts below $10,000 and special acknowledgements for restricted gifts

Draft and execute letters for key Baruch College administrative officials and staff

Manage In Honor and In Memory of gift program

Develop protocol and auditing system to ensure all acknowledgement letters are sent out on a timely basis. Maintain tracking report of all correspondence and electronic donor files
Stewardship
-
Communicate with student scholarship recipients regarding the donors to their scholarships and collect thank you letters from the students to send to the donors

Work with Director of Donor Relations and the Financial Aid office to ensure scholarship criteria are met and that all scholarships are awarded in a timely manner

Compile the Baruch College Fund Board of Trustees meeting agenda packets, prepare mailings to the Trustees and draft minutes at the Board meetings and Board resolutions

Manage student awards stewardship program, coordinating with staff in the Financial Aid office and other relevant departments around the campus to ensure that awards’ criteria are being accurately met according to donors’ wishes. Also responsible for mailing award stewardship letters to donors

Maintain and enhance scholarship database (a home grown system).

Assist in the preparation and mailing donor reports on endowed and restricted funds and scholarships

Continuously gather and archive facts and anecdotes specific to the school/department Baruch’s three schools and its many departments and programs, to be used in annual impact letters and to augment other frequent communication with donors.

Coordinate the process for obtaining signatures for donor gift agreements
Donor Recognition

Maintain, update, and generate giving society rosters, which may include: 17 Lex Society and the Benchmark Society

Contribute to the overall effort of managing the production of an accurate annual honor roll of donors and other honor rolls as needed

Create and mail new donor packets and other donor stewardship packets

Maintain an accurate and historic archive of Baruch naming opportunities

Work with Director of Donor Relations on the implementation of communications and recognition opportunities associated with all donor recognition societies
Events
-
Manage RSVPs for stewardship events, including annual 17 Lex Society recognition event, Benchmark Society Luncheon and other donor recognition events

Coordinate, plan and execute scholarship luncheons (between 10 to 12 annually)

Assist in the event planning preparations all stewardship events
For this position, the job title is Administrative Assistant and the working title is Stewardship Associate.
Qualifications:
- A Bachelor’s Degree is required. A minimum of 3 years experience in higher education development or non-profit setting preferred.
- Highly proficient writing and editing skills required with the ability to write in another’s person voice.
- Strong verbal and interpersonal communication skills are required, as are a commitment to customer service and the ability to deal effectively with internal and external constituencies.
- Must demonstrate attention to detail, superior organizational skills, and an ability to handle multiple tasks, deadlines and changing priorities with good judgment.
- Must be an enthusiastic self-starter with the ability to work independently as well as collaboratively on a team.
- Mastery of Microsoft Office, with an emphasis on merging data in Word, creating spreadsheets in Excel, and publications in Publisher.
- Experience with Raiser's Edge or other fundraising database is essential.
- Some evening and weekend hours may be required when staffing events.
