Geffen Playhouse - Grants Manager and Major Gifts Executive Assistant
The Geffen Playhouse, a nonprofit theater arts organization, has an immediate opening for an Assistant to provide direct support to the Director of Major Gifts and Corporate & Foundation Partnerships. The person hired will be a skilled writer, communicator, and team player and will have a passionate belief in the organization’s mission. Reporting to the Director of Major Gifts and Corporate and Foundation Partnerships, the qualified candidate will be responsible for executing daily administrative tasks and preparing a variety of relevant documents.
Responsibilities:

Maintain up-to-date grants and reporting calendar;

Maintain accurate and complete electronic and hard copies of grant files;
-
Maintain accurate foundation, corporate and major donor accounts information in Raisers Edge and/or AudienceView;
-
Support our Department’s work with Geffen Artistic and Education Departments to ensure that grant objectives are being met;
-
Collaborate with staff members to maintain up-to-date records of program/impact data to include in Geffen Playhouse proposals and reports;
-
Draft highly accurate and customized acknowledgement letters in a timely manner for all foundation, corporate and major gifts;
-
Compile and draft funder reports that are compelling, complete, timely, and accurate;
-
Efficiently and extensively research funding opportunities using a variety of resources;
-
Assist with research on prospective donors including individuals and foundations;

Maintain updated Geffen Playhouse documents (e.g. supplemental documents, required attachments) for inclusion in proposals, reports, and donor events;

Accurately proof all proposals, reports, letters, emails and other documents as directed;
-
Using boiler plates approved by Geffen Playhouse leaders, help adapt, customize and submit letters of inquiry and proposals to funders as directed;

Submit annual report to the California Cultural Data Project (CDP);

Help research/organize/maintain the latest reports and studies on arts education; effective arts education programming models;
-
Respond/fulfill inquiries for House Seats and other needs from major donors (including Board, Advisory Board and Chairman’s Circle Members), foundations and corporations;

Support strategies to strengthen relationships with existing foundation and corporate supporters and with major donors (Board & Chairman’s Circle members) and prospects;

Maximize the Director’s time by scheduling appointments, reminding the Director of schedule and deadlines, setting conference calls, maintaining Outlook calendar and contacts;

Coordinate meeting logistics, prepare agendas, send invitations, record and distribute meeting minutes for on and off-site meetings, including Geffen Playhouse quarterly Board Meetings and Advisory Board Meetings;

Serve as liaison to Director of Major Gifts and Corporate & Foundation Partnerships while exercising diplomacy and good judgment when dealing with Board members, Geffen Playhouse donors and staff, vendors and consultants;

Draft invoices to corporate donors and take responsibility for submitting them and leading follow-up on their payment;

Handle confidential information and manage the efficient transmission of sensitive information;
-
Perform other Development Department duties as assigned or needed, including attending and supporting events.
Requirements:

Bachelor’s degree and a minimum of 3 years experience in non-profit development;
-
Excellent writing, research, proofreading, and analytical skills;
-
Very high level of organization skills and detail-orientation, with experience using those skills in fast-paced office settings;

Strong project and time management skills;
-
Ability to meet deadlines while maintaining good relations with colleagues;
-
Adept at creating presentations and summarizing data, including ability to present information in a variety of formats;
-
Clear arts aesthetic that is aligned with the organization;
-
The ability to work both collaboratively and independently;
-
Experience and comfort with budgets and financial data;
-
High degree of comfort and literacy with computers and online tools, in particular Word, Excel, and Internet research;

Demonstrated ability to coordinate complex projects involving multiple personnel;
-
Mature judgment, with a high level of personal and professional integrity and trustworthiness;
-
Prior success working closely and building relationships with diverse groups of people;
-
Comfortable giving and receiving honest, constructive feedback;
-
Experience using Raisers Edge or other donor database is preferred;

Ability to work some evenings and weekends.
Compensation:
