Brooklyn Community Foundation is Brooklyn’s primary philanthropic institution. It was created to improve the lives of people in Brooklyn by strengthening communities through local giving, grantmaking and community service. It serves as a vehicle for individuals, families and local businesses to support effective nonprofit work through five field of interest funds: Community Development, Education and Youth Achievement, Green Communities, Arts for All and Caring Neighbors.
With assets valued at over $57 million, the Brooklyn Community Foundation relies on both its investment returns and a growing fundraising effort to support internal operations and annual grant making, which totaled over $4 million in 2012.
The Foundation has a team of 9 staff deployed in program and grants management, community and donor development, communications and marketing, and financial and internal operations.
Position Description
Brooklyn Community Foundation seeks an Administrative & Grants Associate to provide support for the Foundation’s donor services, fundraising efforts and grants programming, as well as manage certain daily office operations. The position will report to the Foundation’s Chief Operating Officer.
Responsibilities include but are not limited to the following:
External Affairs & Development

Enter and batch all donor activity in Raiser’s Edge
-
Run weekly reports from Raiser’s Edge
-
Prepare and code all checks for deposit
-
Assist Development Associate in maintaining donor files and contacts, drafting and mailing thank you letters, scheduling meetings, and coordinating bulk mailings

Route and respond to general development and marketing inquiries
-
Assist with external cultivation and fundraising events
Grants & Programming
-
Maintain Foundation’s digital and hard copy grant files

Assist with all incoming grant applications, respond to grantee inquiries regarding the online application process, compile and verify grantee contact and banking information and oversee administration of the grant reports from Foundation grantees

Assist with data entry using Raiser’s Edge and Granted Edge

Administer Foundation’s small grants program
General Office Operations
-
Coordinate staff schedules for internal meetings and provide support for external Foundation meetings and events including maintaining invitation lists and RSVPs, check in and other event logistics, and coordinating vendors

Provide support for the Board of Directors including scheduling Board and Committee meetings, assembling and distributing documents, maintaining updated Board contact list and board files (paper and electronic), and drafting and circulating meeting agendas and minutes

Manage additional daily office functions to support all departments within the Foundation, including answering the main phone line, greeting guests, and maintaining and ordering supplies.
Requirements
The ideal candidate should be detail oriented with a strong ability to manage multiple projects simultaneously in a fast paced environment. In addition, being polite, calm and a team player are all critical attributes. The candidate should have:

Bachelor’s degree

Excellent computer skills required with particular proficiency in Microsoft Excel, Word and Outlook

Experience in data-base management, in particular with the Blackbaud suite (Raiser’s Edge and Granted Edge)

Excellent verbal and written communication skills
