Job Summary
Performs advanced, diversified and confidential administrative support for an executive and assigned staff. Relieves executive of as much administrative detail as possible. Stays informed of activities relating to University and division programs and initiatives, apprises the executive of issues when deemed necessary.
Coordinates information flow from executive's office, represents the executive to other University executives, other University offices and outside agencies. Initiates routine and non-routine correspondence and other written materials under own signature or for signature of the executive. Triages emails and telephone calls for action. Resolves routine and complex inquiries. Refers inquiries to the appropriate person and follows-up to ensure complete and timely responses.
Maintains the executive's calendar, exercises discretion and judgment as to priorities and effective use of the executive's time. Schedules and coordinates meetings, conferences and special events. Ensures the executive is prepared and briefed. Compiles data, statistics and other information and materials as needed. Uses various relevant information sources, synthesizes information, prepares special reports and delivers briefings.
Coordinates complex travel arrangements for the executive. Ensures all necessary files, materials and supplies are assembled. Prepares itineraries. Assists in managing daily operation of the office. Interprets requests and helps implement action. May manage a portion of the executive's budget by monitoring and reconciling accounts. Prepares financial and/or administrative reports. Coordinates support staff. Schedules workflow to meet deadlines. Ensures accuracy and timeliness of work. Manages special projects as directed by the executive or assigned staff. Works regularly with team members to coordinate delivery of projects and assists with project management, as directed.
Education
Bachelor's degree or higher required.
Experience
A minimum of three years of professional work experience in administrative or office management required. Application Instructions
