DESCRIPTION
Position Summary
The position entails working with and supporting the Vice President, Individual Giving, the Diabetes Research Foundation and senior gift officers in achieving department fundraising plans. Position requires an energetic, amicable, and highly organized individual to provide key support including fielding telephone calls, making travel and meeting arrangements, preparing board materials and reports, word processing, filing, and faxing. Strong communication skills, computer/software skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management, volunteers and staff are required.
Duties and Responsibilities
- Provide executive-level support.
- Work/communicate with a diverse group of people, including the Board of Directors, donors, volunteers, the public, and other staff.
- Demonstrate sensitivity in handling confidential information.
- Coordinate multiple diverse projects, including Pathway campaign support as needed, set realistic deadlines, and manage timelines.
- Schedule meetings and events; send out meeting notices, prepare agendas and any material needed.
- Transcribe and distribute Research Foundation Board minutes in a timely manner.
- Produce acknowledgement letters for major, planned and Research Foundation gifts as part of overall stewardship program.
- Record Pathway Campaign interactions in database, Team Approach;
- Prepare reports as required by Vice President.
- Plan volunteer or staff events as requested.
- Enter donor or volunteer data into the database.
- Maintain files, database, calendars, and hard-copy files for Vice President and Research Foundation Board.
- Record the assignment of campaign volunteers and correspondence into the database.
- Perform other duties as assigned.
ADDITIONAL REQUIREMENTS
- Advanced written and spoken (English) communication and administrative skills; excellent telephone manner.
- Computer literacy including MS Office products: Word, Excel, Outlook, Power Point; experience with mail-merges and with donor databases.
- Exceptional time-management, planning, and administrative skills.
- Ability to organize and prioritize workload.
- Demonstrate high level of diplomacy, sound judgment, and discretion when dealing with donors, volunteers, and staff.
- Combined four years of full-time work experience and/or higher education.
- High degree of energy, self-motivation, and flexibility.
