REDF has pioneered a venture philanthropy model to employ those who are overcoming chronic poverty, homelessness, criminal history, substance abuse or mental illness by investing in nonprofit-run businesses called ‘social enterprises.’

Since 1997, REDF (The Roberts Enterprise Development Fund) has provided funding and business assistance to a portfolio of social enterprises and has helped employ more than 6,000 people in two of the most diverse regions of the country – the San Francisco Bay Area and Los Angeles. Now we’re taking our model to scale and working across our state’s innovative business environment. We will create jobs for thousands more Californians while developing a replicable social enterprise model to bring adults and young people into the economic mainstream throughout the country. In order to accomplish these ambitious goals, REDF is embarking on a significant recruitment effort. This new position is one of three that are currently available.

Position Overview
This Administrative Assistant position is a dynamic support role that encompasses general administrative activities, as well as specific support to the Operations teams. Under the supervision of the Office Manager, the Administrative Assistant will support the REDF team by ensuring smooth office operations and carrying out a variety of front desk reception duties. Additionally, the Administrative Assistant may work on one or more strategic projects as dictated by background, skills, and interests as they relate to REDF’s strategic plan. We are looking for a can-do team player, who possesses a helping attitude while demonstrating a flexible work style and the ability to change course and shift their focus as priorities dictate.

Essential Duties & Responsibilities

Front Desk Reception

  • Tasks include: answer phones, greet visitors, sort and distribute daily mail, provide support for shipping, and keep reception area tidy and stocked

Staff Support

  • Provide support for REDF’s Operations teams, including conducting research and assisting with projects
  • Maintain accurate contact records on Salesforce.com CRM system
  • Review credit card statements and conduct reconciliations
  • Assist with assembly of quarterly Board binders
  • Serve as safety/security liaison to staff; attend building safety meetings; maintain organization’s emergency manual
  • Provide out of office coverage for other administrative team members
  • Support team members, to include: scheduling travel arrangements, purchase greetings cards, lunches, and ad hoc projects as they arise

General Office Duties

  • Ensure office, meeting rooms and kitchen are clean and organized
  • Maintain well-stocked and organized supply room, conference room and storage space, including ordering supplies
  • Ensure smooth operation of office equipment (non-computer-related) such as postage meter, telephones and copier
  • Manage internal “events” calendar

Skills & Qualifications

  • BA/BS degree with 2+ years administrative experience in a professional environment (or high school diploma with 4+years of administrative experience)
  • 1-2 years professional or volunteer experience within the nonprofit sector preferred
  • Proven skills in Microsoft Office Suite
  • Pleasant, welcoming demeanor and well developed interpersonal skills
  • Experience with Salesforce or other CRM Software a plus
  • Effective written and oral communication skills
  • Superior organizational skills with the ability to prioritize and meet deadlines
  • Quick-study, who can easily communicate the brand of an organization
  • Ability to use diplomacy, tact and patience
  • Proactive, able to self-pace
  • Ability to drive an automobile independently (must have valid CA driver’s license)
  • Ability to work at a desk for extended periods of time
  • Ability to work with people with a wide range of cultural backgrounds, training and experience; experience working with mixed cultures and skill levels

Physical Demands

Position requires extensive use of phone and computers. Certain computer applications, programs and documents may require ability to differentiate colors, shapes and symbols. The position requires the ability to move items weighing up to 20 pounds from floor level, desk level and shelf level of 10 feet.
