The National Women’s Health Network (the Network) is a national nonprofit organization working to improve the health of all women by developing and promoting a critical analysis of health issues in order to affect policy and support consumer decision-making. The Network aspires to a health care system that is guided by social justice and reflects the needs of diverse women.
FLSA Status: Non-Exempt
Relationship and Roles:
Reports to Director of Advancement
Supervises Intern, as appropriate
Interdepartmental liaison with Communications department for digital marketing including online donor issues
External liaison with workplace giving consultants
Job Summary: The Membership Coordinator ensures the administration of the Network’s fundraising efforts. S/he is responsible for the database and membership program. This includes but is not limited to administration of direct marketing program; donations processing; and financial reports. The Membership Coordinator oversees online donations and customer relationship management (CRM).
Job Duties:
Individual Giving
- Enter and process donations on a daily basis
- Prepare acknowledgment letters on a weekly basis
- With Director of Advancement, compile regular progress reports on direct marketing program
- Contribute to development plan as related to membership program, including member recruitment and retention campaigns; interpretation of statistics; list management
- Manage membership program including responding to member queries; maintaining accurate member records;
- Oversee the Network’s participation in workplace giving campaigns (including Combined Federal Campaign, Corporate, State and United Way]
- Attend outreach events, as appropriate
- Oversee and manage the filing of state charitable solicitation registration forms
- Create donor list for newsletter (bi-monthly) and Annual Report
Special Events
Annual Awards Benefit
- Compile invitation list for Save-the-Date and invitation mailing
- Create and print mail merge for Save-the-Date letter
- Update income spreadsheet<
- Create and submit, with Director of Advancement, invoices for pledges
- Monitor status of pledges and payments; contact constituents, as needed
- Obtain and manage guest list in coordination with Director of Advancement
Finance & Administration
- Maintain donor files
- Create and reconcile monthly financial report for Finance Manager
- Create and submit invoices for pledges
- Provide donor and financial information to Finance Manager and auditors, as requested
- Serve as back-up Office Coordinator on a weekly basis, or as needed
Database & Web Site
- Conduct weekly data sync between CiviCRM and ROI Solutions
- Draft, as necessary, and monitor pages created in Salsa
- Send Awards Benefit Save-the-Date email to constituents via ROI Solutions
- Add new and update current constituent and organization records in ROI Solutions
- With Health Communications Manager, maintain donor pages of web site including creating new donation forms and autoresponders
Qualifications:
- Bachelor’s degree
- A minimum of 2-3 years experience in an administrative position, preferably with a non-profit development office
- Proficiency in Microsoft Office Suite
- Knowledge of fundraising software, ROI (Revolution Online) Solutions preferred
- Familiarity with customer relationship management (CRM) software, CiviCRM and/or Salsa preferred
- Attentive to details
- Ability to organize and prioritize work
- Ability to handle many simultaneous responsibilities
- Excellent interpersonal skills
- Effective and pleasant interpersonal communication skills
- Knowledge of women’s health issues a plus
