This work is crucial in a department that has tripled its giving from $5M to $15M in three years and is now the second-largest animal welfare philanthropy in the country.
Job Summary:
The Grants Assistant is responsible for assisting the Grants Department in several aspects of grants management for all departments at the ASPCA. This position utilizes the MicroEdge GIFTS database to manage the collection of grant applications and reporting, processing of grant approvals, and creation of internal and external reports for various constituencies. The focus of this position will be to administer the processing of proposals, grants, and payments, and coordinate the administrative functions of the Grants Department.
Job Responsibilities:

Oversee departmental administration, including planning and scheduling meetings and managing calendars

Track and reconcile departmental expenses and grants budgets with Finance department
-
Administer and monitor pre-grant processes, such as proposal intake
-
Assign and track reviews of all grant proposals
-
Process grant recommendations, notify applicants of grant disposition and ensure timely payment processing of approved grants with Finance department
-
Create and/or run and disseminate a variety of reports for internal and external stakeholders

Enter and maintain updated data, including historical data entry and routine cleanups and accuracy checks

Serve as primary contact for grant seekers, grantees, and program staff

Manage the departmental email inbox; review and route or reply to correspondence

Provide technical assistance to staff, applicants and grantees

Assist department with special projects and tasks

Assist with training of program staff on technology and processes

Coordinate, draft and update PowerPoint presentations and webinars for internal and external presentations, including staff and board meetings plus animal welfare and philanthropy conferences
Education:
-
Undergraduate degree required
Experience:
-
Minimum of 2 years in a nonprofit office environment preferred

Database experience preferred
Knowledge Requirements:
-
Knowledge of and experience in philanthropy/grantmaking/nonprofit sector a plus
-
Financial and/or administrative background a plus
-
Strong technological aptitude and /or interest, must willing and able to learn new technologies
Skills Requirements:
-
Excellent written and interpersonal skills
-
Intermediate to expert level Microsoft Office Skills (Excel, Word, PowerPoint)

Knowledge of MicroEdge products (GIFTS, Alta, IGAM, etc.) preferred, but not required (training will be provided)

Ability to provide direction, oversight, and problem solving with regard to grant process

Ability to prioritize and work within a strategic plan
-
Ability to communicate instructions clearly

Self-directed work and planning skills are an essential element, ability to make independent decisions and offer solutions based on expertise, knowledge and accountability
