Position Title: Assistant Vice Chancellor, Advancement Services

Under the general direction of the Vice Chancellor of University Advancement, the Assistant Vice Chancellor (AVC) of Advancement Services will provide strategic planning, management, and direction to support and promote fundraising as related to the following functional areas: Prospect Management and Research, Donor Relations, Database Administration, and Gift Agreements. An integral member of the Vice Chancellor's senior staff, the AVC will employ their knowledge and experience with best practices related to these functional areas through the development and administration of efficient systems and processes, providing an essential infrastructure designed to ensure maximum success toward the University's fundraising goals. The incumbent will ensure the department's resources and sub-departments are aligned with business objectives for maximum utilization.
Salary: Commensurate with experience
Work Schedule: 8-5, M-F

Job Essential Function 1
Percent of Time: 100%
PROGRAM DEVELOPMENT - 60%
- Independently responsible for overseeing a customer- and donor-centered Advancement Services operation that positions all development staff for success in relationships with donors, potential donors, volunteers, and other supporters.
- Provide comprehensive support regarding Advancement Services activities and programs. Prepare university leaders for cultivation, solicitation and stewardship plans for selected major donors.
- Provide strategic planning and senior management for an infrastructure of central services to promote and sustain maximum efficiency:
Prospect Management Research
The development of prospect pipelines, including tools, services, and management to ensure appropriate and intentional steps are taken to increase the value of development officer portfolios, and that results are optimized through the development of appropriate cultivation and solicitation strategies.
Donor Relations
The development of an operationalized set of stewardship and special events programming and strategies, including donor reports and fund tracking, and a customer-service oriented events program designed to build a pipeline, and engage and acknowledge major/principal donors toward the university's fundraising goals.
Gift Agreements
The systemization of a donor-centric set of processes for gift agreements, namings, and endowed chair acceptance and approvals, including the gift agreement review process and ensuring that gift terms meet the donor s intent and align with UCI's strategic plan.
Database Management
- The strategic use and data quality of the relational donor/prospect database to ensure information is accurate and accessible to meet the goals of a data driven fundraising enterprise.
- Manage information on individuals and groups through strategic research, various methods of prospect identification, and assigning and tracking of major gift prospect portfolios.
- Keep abreast of tested and emerging technologies and methodologies that will aid the development program in more efficiently and effectively managing prospects, prospect strategy and information
- Design and implement information systems, constituent research, and other programs that serve the fundraising programs.
- Design and develop programs that promote and celebrate philanthropy and best leverage resources to enhance and grow private support programs. Ensure that infrastructure will support the growth and enhancement of prospect pools.
- Evaluate and seize opportunities to improve efficiencies while maintaining appropriate controls and accountability across the campus in the gift agreement approval, endowed chair naming, and facility or program naming processes.
- Act as the liaison with the OIT Advancement Information Management team to identify opportunities for greater efficiencies in information management while stabilizing and securing all technical environments. Enhance and protect data integrity and accuracy for the business purposes of all data end users.
- Maintain ongoing expertise and knowledge about commercial on-line database services and prospect identification and rating systems.
- Ensure appropriate information services policies and procedures are in place to ensure the protection of enterprise technology assets and the integrity, security and privacy of information entrusted to or maintained by University Advancement.
- Ensure the OIT business and strategic plans are in line with University Advancement and Campus' long term strategic plan. Ensure systems are used to enhance and achieve the goals of University Advancement and its partnering with campus systems management.
MANAGEMENT - 40%
- Develop goals, operational standards, and benchmarking for functional areas to ensure contribution and success to the overall organization financial goals, and that deliverables are in accordance with University Advancement's quality standards.
- Manage staff directors establishing work priorities, standards, and timelines.
- Collaborate with senior leadership colleagues to ensure that functional areas are delivering the highest quality of services, and that any applicable policies and procedures are adhered to.
- Oversee functional units in the training and engagement with fundraisers across campus to make effective use of Advancement Services. Serve as an advocate to the Vice Chancellors, Deans, and other university leadership on behalf of University Advancement.
- Responsible for functional area budgets, including continual assessment of budgetary and staff requirements to ensure cost effectiveness.
RELATIONSHIPS
- Accountable to the Vice Chancellor of University Advancement for the management of assigned responsibilities.
- Consult with senior leadership colleagues in the creation of policies and strategies for functional areas.
- Maintains effective working relationships with other departments in University Advancement, and the university Office of Information Technology (OIT).
SCOPE
- Directly supervise a staff of: Senior Director of Donor Relations (MSP III), Senior Director of Prospect Management and Research (MSP III), Senior Director of Database Administration (MSP II) and Senior Administrative Analyst.
- Indirectly supervise a staff of: one principal administrative analyst, two senior administrative analyst, four administrative analysts and two administrative specialists.
- Incumbent has direct impact on the major gift development program for the campus.
SKILLS, KNOWLEDGE AND ABILITIES:
Required:
- BA/BS degree or an equivalent combination of education and experience.
- At least four (4) years of experience in a leadership position related to information technology, prospect management and research, donor relations, and gift agreements.
- Extensive knowledge and experience with the principles and techniques relevant to higher education major gift fundraising.
- Extensive knowledge of computers, especially the Microsoft Office Suite and relational fundraising database(s).
- Demonstrate high proficiency in various programming and reporting languages, including but not limited to SQL and Crystal Reports.
- Ability to create and update reports for databases including SunGard Higher Education BSR Advance and Microsoft Access.
- Respond to assigned work orders and maintain accurate and timely documentation of progress in a work order database.
- Collaborate with OIT to provide consulting, problem determination and resolution, system installation and configuration, application support and needs analysis to support University Advancement.
- Demonstrated experience in developing and implementing strategic plans, policies and procedures; including guidelines and metrics to track progress and effectiveness of projects.
- Demonstrated knowledge and accountability related to budgetary planning and prioritization of projects, programs, and activities using sound judgment while meeting organizational needs.
- Demonstrated experience in leading, supervising, and motivating a work team, including organizing work flow to accomplish established objectives, delegating responsibility, training, mentoring, evaluating subordinate effectiveness, and administering necessary disciplinary action.
- Proven ability to analyze and synthesize information, and demonstrated resourcefulness in finding appropriate solutions to problems and initiative in presenting alternatives and implementing solutions to ensure effective change and/or eliminate or mitigate potential negative effects.
- Excellent initiative and organizational skills with the ability to prioritize complex tasks, projects, and work flow, and to use independent judgment to make decisions regarding operations and deadlines.
- Possess traits of good judgment, confidentiality, and discretion with colleagues and constituents.
- Proven ability to provide critical analysis, using sound judgment with realistic expectations for projected results.

- May be required to drive on occasion in order to perform the routine or essential job responsibilities for the position.
Desired:
- Advanced degree/post-secondary education.
- At least five (5) years of experience in a leadership position related to information technology, prospect management and research, donor relations, and gift agreements.
- Experience working within a comprehensive research university fundraising campaign.
- In-depth knowledge of SunGard Advance database.
