Jersey City Theater Center - Managing Director

Jersey City Theater Center, Inc. (JCTC) is a 501(c)(3) organization currently developing a Performing and Visual Arts Center in the Downtown Jersey City, New Jersey Area for emerging artists and cultural innovators as well as the community and visiting tourists.

JCTC aims to house innovative and progressive performing and visual arts as well as educational art programs which embrace the multicultural identity and preserve the rich history of Jersey City.

MANAGING DIRECTOR:

This senior leadership position is responsible for the day-to-day management, business operations, and financial management of Jersey City Theater Center, Inc. The Managing Director works closely with the Artistic Director to develop, design, and implement an innovative and sound business, management, and financial model with strong practices and controls. This position supervises administrative personnel and works staff members to ensure support of all JCTC programming. This position reports to the Executive & Artistic Director.

The JCTC Managing Director possesses a deep passion for the performing arts and has an enthusiastic commitment to building community through artistic engagement; the desire and ability to work as part of a team in a fast-paced and energetic environment; fluid communication and leadership skills; and a solid grounding in nonprofit finance. This senior position offers significant potential for growth, with the opportunity to build and shape the future of a up and coming arts organization in rapidly growing Jersey City.

NATURE & SCOPE:

FINANCE:

  • Lead the development and implementation of JCTC’s annual budget. Employ creativity and analytical skills to identify new earned income opportunities and cost savings. Monitor cash flow and budget projections and recommend pro-active adjustments as needed. Work with developing program and production staff to monitor production budgets.
  • Establish and maintain solid financial controls and accounting procedures for the organization and refine as needed. Ensure compliance with institutional regulations.
  • Prepare and present monthly and quarterly financial reports (profit and loss, balance sheet, cash flow) for the Board of Directors.
  • Ensure timely and accurate bookkeeping, including accounts receivable and payable, bank reconciliation, and payroll.
  • Assist Auditors in completing annual audit and ensure the timely filing of federal, state and city tax forms and applications.
  • Manage relationships with banks and other financial institutions. Negotiate and monitor vendor contracts.
  • Manage budgeting and financial reporting for grants. Track classification and ensure correct allocation of grant awards and other restricted income.

HUMAN RESOURCES:

  • With Artistic Director and Board of Directors, plan and implement creative systems for nurturing and supporting future JCTC staff. Work with the entire staff to create a welcoming home for art and community as well as a communicative and respectful office environment.
  • Seek out the best new opportunities for professional development, and support the development goals of each staff member.
  • Maintain employee policies and procedures and all employee files, lead new hire orientations. Review and update the personnel manual on an annual basis, communicate HR policies to staff.
  • Manage and administer payroll and employee benefits including health and dental insurance and commuter checks.
  • Assure compliance with applicable human resources, employment, and personnel laws and regulations.
  • Hire, orient, and supervise administrative staff and interns.

GENERAL OPERATIONS:

  • Establish and maintain innovative and efficient administrative systems and operations for the organization.
  • Work with staff to collect comprehensive, meaningful, and accurate information about our programs and constituencies.
  • Select and implement the best systems for tracking data. Issue reports on program activities and outcomes. Identify opportunities for integrating organizational systems.
  • Facilitate communication/collaboration between staff and their respective program areas.
  • Coordinate compliance with business reporting and ensure timely filing of all business reports.
  • Manage risk, evaluate and maintain appropriate insurance.
  • Participate in collectively-shared facility upkeep tasks and office duties.

PROGRAM:

  • Work collaboratively with staff and board to envision the artistic future of JCTC and design innovative new programs in response to a changing landscape. Participate in the artist selection process for certain JCTC programs.
  • Ensure that business practices are in line with the social values of the organization, and are best suited to supporting its programs.
  • Work with the Artistic Director and Board of Directors to evaluate the structure of the Fiscal Sponsorship Program, chart its future course, and identify the appropriate staff to support the program.
  • Work with key staff to shape the re-envisioned rental program; identify staffing structure and support transitions.
  • Represent JCTC and its innovative practices to the larger community at select meetings, conferences, and events.

QUALIFICATIONS:

  • At least 5 years of proven office administration, financial management or human resources experience (or any combination of the preceding) with progressive levels of responsibility. Prior experience in the performing arts and nonprofit theater management is a strong plus.
  • Strong leadership and management skills.
  • Solid understanding of nonprofit accounting principles and practices. The ability to understand, analyze, and communicate financial data.
  • Understanding of employment regulations and effective human resources policies.
  • The ability to coordinate and present information in a consistent, organized, and accurate fashion.
  • Excellent organizational skills with strong attention to detail and accuracy.
  • Excellent communication skills interfacing with artists, staff, and Board; both written and oral.
  • Ability to multi-task, prioritize daily activities to meet competing deadlines and to work independently.
  • Willingness and flexibility to take on new responsibilities and support the duties of fellow staff members.
  • Desire and ability to work collaboratively, maintaining a sense of humor and openness to unexpected situations.
  • Proficiency in Both Apple and MicroSoft Operating Systems, MS Office, including MS Word and Excel; QuickBooks; FileMaker Pro; Google Docs; and Constituent Relationship Management (CRM) applications.
  • Written and oral English fluency required; proficiency in another language is a plus.
