Philanthropy New York is a nonprofit membership association of more than 280 foundations and corporate giving programs based in the New York metropolitan region. Philanthropy New York supports and strengthens the foundation sector’s practice of effective philanthropy for the public good. We do this primarily by providing our members with knowledge and resources that facilitate strategic, collaborative grantmaking. The organization also works to raise awareness among key audiences—legislators, non-profits, and policymakers—about the critical roles that grantmakers play in the betterment of our society.
The Learning Services Department holds principal responsibility for planning, designing, and implementing more than 150 learning opportunities in the form of convenings, multi-day conferences and workshops, teleconferences, webinars, and live-broadcasted programs. These events are designed for a range of grantmaking organizations, professional roles, and areas of funding interest.
Position Summary:
The Learning Services Associate will be a core team member of the Learning Services Department and assist with planning and managing all of Philanthropy New York’s programs and events. This position directly reports to and works closely with the Assistant Director of Learning Services.
The ideal candidate has a pleasant demeanor, collaborative spirit and a great customer-service oriented attitude. Essential skills include excellent communications and proofreading skills, technological savvy, multitasking effortlessly, keeping calm under pressure, and managing detailed event logistics.
Key Responsibilities:
Assist with program planning and managing meeting logistics, including but not limited to:
-
coordinating and troubleshooting registration process
-
catering and facilities arrangements
-
preparing materials for attendees (rosters, nametags, handouts, etc.)
-
scheduling programs and maintaining the organization’s program calendar
-
communicating (in person, via email and phone) with a range of individuals including high-profile speakers, administrative staff and outside contacts
-
Produce and distribute program-related publicity through web content, electronic publications, targeted email communications, and Twitter
-
Manage program follow-up, including compiling and distributing program related resources
-
Collect and analyze program-related data, including attendee evaluations
-
Lead assigned programs and series, with assistance
-
Assist with program technology including Twitter and live-streaming events

Other duties as assigned
Position Requirements:
-
Bachelor’s degree or equivalent
-
Minimum of two years relevant work experience
-
Ideally, experience in or knowledge of philanthropy and/or the nonprofit sector
-
Outstanding administrative, project management, problem solving, and analytical skills
-
Strong written and oral communication skills, especially for web-based audiences
-
High level of attention to accuracy, detail, and organization
-
Demonstrated sound judgment, and the ability to autonomously manage and prioritize a diverse workload

Experience managing complex relationships with high-profile individuals

Pro-active approach

The flexibility needed to prepare for multiple events simultaneously

Excellent interpersonal skills and a team player who is comfortable working autonomously or closely with other colleagues

Excellent computer/technology skills and the ability to learn, suggest and utilize new applications; experience with social media tools within a professional context preferred

Flexibility in schedule to allow for early arrival or late departure to staff an average of two events per week (arriving no later than 8am or leaving after 7pm)
