The Administrative Assistant for Planned Giving will report to the National Director of Planned Giving.

Position responsibilities include:

  • Coordinate planned gift administration, including updating planned giving donor and prospects files, drafting acknowledgement letters to planned giving donors and maintaining list of donors for donor recognition society.
  • Assist in the planning and coordination of internal and outside meetings, seminars and training sessions for colleagues and Regional Office Board members, and telephone briefings.
  • Preparation of donors reports, queries and exports from donor database.
  • Assist Director of Planned Giving with the development and preparation of donor proposals, marketing materials and mailings to support AJC’s Planned Giving Program.
  • Assist Director of Planned Giving with donor relations and serve as liaison to lay leaders and members of AJC Planned Giving Committees and related Sub-Committees.
  • Attend and participate in select Development evening events as requested by the AJC National Director of Development.
  • Position includes handling of administrative matters relating to charitable trust and estate matters including tracking of bequests distributions.
  • Provide general administrative support to Director of Planned Giving including answering telephones, email communications with donors and AJC staff, preparing written documents for donors, and professing gifts.

Qualifications:

  • Bachelor’s degree required
  • Applicant must possess good proof reading skills for letters and documents
  • Position calls for a highly organized, ambitious individual with a desire to learn about Planned Giving and Development
  • Proficiency with MS Word and MS Excel required. Experience with preparing Power Point presentations a plus
  • Experience with Raiser’s Edge and Planned Giving software a plus
  • Experience in Development for not for profit a plus
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills, tact and diplomacy
  • Well-developed organizational and time management skills
  • Dependable
  • Respect for and adherence to confidentiality is required
  • Strong attention to detail and follow-through
  • A self-starter, willing to take the initiative
  • A team player as well as able to work independently
  • Ability to work effectively under pressure
  • Passion for the mission of AJC
  • Willingness to occasionally attend meetings and programs outside of standard working hours
