University of Southern California - Guest Services Manager, New York City Office

The University of Southern California's (USC) Regional Development office located in New York City (NYC) is seeking a Guest Services Manager to join its team. This person will report to the Executive Director of the NYC Advancement Office and will be the first point of contact for visitors to the New York City satellite office and will serve as the face of the Regional Development division outside of California.

This is a multifaceted position requiring a blend of strong administrative and public relations skills. Duties will include:

  • supervising all aspects of the NYC Office operation including calendaring and appointments, office budget, travel arrangements, correspondence, and acknowledgement of gifts received by the USC NYC Office;
  • maintaining an internal calendar for all regional events, including relevant University and school-based events, for use by senior staff;
  • managing the assignment or preparation of required briefings for the President, Provost and Senior Vice President for University Advancement;
  • answering phones and greeting guests at the NYC Office, extending the highest standards of hospitality to all guests, visitors, and members of the Trojan Family visiting New York;
  • reconciling receipts/bills, producing expense reports, tracking office supply budget expenditures;
  • planning and executing various special events;
  • coordinating professional development opportunities for NYC staff in consultation with the Executive Director;
  • preparing meeting agendas;
  • utilizing and coaching research interns to discover new donor leads and to prepare basic donor biographical summaries to help debrief the Executive Director and Assistant Director prior to meeting with donors;
  • serving as the primary bridge with the Board of the Alumni Club by attending NY alumni club board meetings and sharing information about the regional office with the Board Members.

The Guest Services Manager must be a very detail-oriented, customer-focused individual with a professional demeanor. The successful candidate must enjoy working with the public while performing a variety of administrative-related duties. Office hours are 9:30am - 6pm, Monday through Friday. Overtime may be required, especially in the evenings, during special events. Must be willing to travel to Los Angeles at least one time per year to visit the USC campus.
