Outreach and Events Coordinator

American Museum Of Natural History - Outreach and Events Coordinator
The Outreach and Events Coordinator in the Center for Biodiversity and Conservation (CBC) works closely with department staff to develop, edit, and produce a full range of materials that effectively support the CBC and convey its mission and programs to diverse audiences. The Outreach and Events Coordinator oversees outreach initiatives, develops promotional materials, maintains and updates website content, and manages the online archive of all CBC-produced publications. The Coordinator is also responsible for overseeing the planning and logistics of annual conferences, public programs, and periodic events organized by the CBC.
This person works closely with the Museum’s Communications, Marketing, and Development departments, with Events and Facilities staff, as well as with outside partners (academic, governmental, and non-profit organizations), vendors, and the general public.
Specific Duties:
- Overseeing CBC Outreach Strategy and Materials
- Work with AMNH Communications department to integrate CBC outreach initiatives with broader institutional communications strategy across diverse media including print and digital
- Write original content and edit copy for departmental publications and promotional materials (website content, reports, briefings) as required; draft reports on the status of programs for distribution to Members, donors, Museum administration, and the general public
- Develop and implement a CBC outreach plan that includes strategies and benchmarks; determine promotional priorities, identify venues and methods of outreach, and forecast resource needs
- Coordinate and execute original outreach products and publications related to special events and programs in print and digital media
- Generate and manage outreach database and maintain calendars of upcoming meetings, programs, and events
Coordinating Planning and Logistics for Events and Conferences
- Working closely with other CBC staff, act as lead coordinator for annual symposia, conferences, public programs, and events organized by the CBC.
- Facilitate working-group communications through conference calls, listservs, and meetings; produce minutes and reports
- Coordinate and execute original communications products and publications related to special events and programs in print and digital media
- Secure venues for events, evaluate vendors (hotels, travel agents, etc,) for quality and cost efficiency
- Liaise with Museum departments and outside partners; maintain communication with event participants to ensure accurate and timely information exchange
- Maintain event schedules, timelines, and contact databases.
Qualifications:
- Background: Bachelor’s degree; 3-5 years of experience in writing/editing communications, promotion, and event planning. Experience in science writing preferred.
- Excellent writing, research, and communications skills, including: demonstrated ability to write clearly, quickly, and on deadline; ability to communicate complex issues to a variety of audiences, to think strategically about outreach methods, and solve problems efficiently.
- Proven technical skills: demonstrated proficiency in desktop publishing and familiarity with various social media outlets; experience in web development, design, and maintenance strongly desired
- Excellent organizational skills: creative, results- and detail-oriented, and able to manage and prioritize multiple responsibilities within deadlines
- Strong communication, facilitation, and interpersonal skills, including: experience leading and working well in teams; self‐motivated and able to work both collaboratively and independently
Salary: Commensurate with experience
Hours: 35 hours/week
