Program Coordinator

World Savvy - Program Coordinator

Summary: Under general supervision from the International Program Manager, the Program Coordinator is chiefly responsible for logistical support of World Savvy’s International Programs. This position requires collaboration with the Program Manager and other program staff to ensure that the strategic goals of the program are met.

Schedule: Full Time, Exempt - 40 hours per week, Temporary (12 months) with possibility of extension

Responsibilities of the Program Coordinator include:

International Program Outreach/Recruiting/Selection:

  • Disseminating program information to youth, educators, networks of schools through phone, email, mailings, and presentations
  • Posting and tracking program applications, compiling information and sharing with program reviewers
  • Coordinating logistics and communications for program interviews (venues, schedules, food, etc.)
  • Providing regular program updates to Program Manager

International Program Implementation:

  • Providing excellent service and communication to constituents- parents, educators, and teachers involved in programs. Answering questions, send necessary group communications, follow-up with participants for missing information
  • Managing all participant materials including outreach packets to participants, follow-up and tracking
  • Planning logistics around group gatherings including orientations and post-travel workshops, including food, venue, A/V equipment, and schedule coordination, and communicating details to constituents
  • Attending and assisting in facilitation of local workshops and orientations
  • Coordinating all travel for group to and from destination country (including flights, transportation to and from airports, overnight lodging in the U.S. when required)
  • Soliciting donations, including food and other items as necessary
  • Reaching out to media to publicize program
  • Other administrative or programmatic work, as assigned by Program Manager

International Program Evaluation & Program Development

  • Analyzing and synthesizing program evaluation results and reporting to Program Manager
  • Working with the Program Manager to execute program enhancements
General Administrative Support
  • Assisting with database management, providing data and reports to assist staff in managing general recruitment and leads; some internet research and adding new schools to database as needed
  • Supporting administrative and general program marketing and communications including website updates, print collateral, and email blasts
  • Working with the Program team to provide logistical support including events, scheduling and arranging travel, and shipping
  • Supporting program team recruitment processes by managing internal recruitment contests, and communications.
Core Competencies:

  • Proficiency in all MS Office Applications, particularly MS Excel, Word, PowerPoint and Outlook
  • Strong organizational and time management skills, including the ability to multi-task, prioritize, set and meet deadlines
  • Database management, CRM technologies such as Salesforce preferred
  • Excellent written and verbal communication skills
  • Detail oriented, self-motivated and comfortable working in a small, collaborative team environment
  • Ability to process paperwork, type and work effectively in an office environment.
  • Ability to visually proof documents
  • Ability to use Adobe Creative Suite
  • Ability to use web-based, administrative platforms, such as Blackboard Learning Systems and SalesForce

Qualifications:

  • Bachelor’s Degree or equivalent
  • Experience working in K-12 education and/or youth development sectors
  • Experience working in a busy and productive office environment
