ORGANIZATION OVERVIEW
The San Francisco Foundation (TSFF) is the community foundation serving the Bay Area since 1948, granting more than $800 million over the past ten years. Through the generosity and vision of our donors, both past and present, TSFF granted $89 million in fiscal year 2012. TSFF brings together donors and builds on community assets through grantmaking, leveraging, public policy, advocacy, and leadership development to make a greater impact in our community. By focusing on people, organizations, neighborhoods, and policy, advocacy and organizing, the Foundation addresses community needs in the areas of community health, education, arts and culture, community development, and the environment. In response to the economic downturn, TSFF is also focusing funding on safety net partners, job creation and training, and mortgage foreclosure relief and neighborhood preservation. The San Francisco Foundation serves San Francisco, Alameda, Contra Costa, Marin, and San Mateo Counties.
REPORTS TO
Vice President for Philanthropic Services
POSITION SCOPE & RESPONSIBILITIES
Provide administrative support to the Vice President for Philanthropic Services and other members of the Phil Services Team. Support includes but is not limited to the following activities:

Coordinate paperwork flow, calendar management, establishing and maintaining filing systems, and drafting and editing correspondence.

Support and assist the Donor Relations Officers in preparing and managing mailings and surveys, project research, responding to donor requests for information, and tracking all contact with donors in the Razor’s Edge database.

Provide logistical support for large and small meetings, convenings, and events including working with caterers, reserving facilities, setting up meetings, taking minutes, mailing invitations, managing mailing lists, developing speaker and attendee profiles, and managing registration and other on-site logistical activities.

Create standard and customized reports utilizing several different applications/databases.

Make travel arrangements, file expense reports, and track department expenses and payments.

Work collaboratively with and act as a liaison between other Foundation departments in executing administrative processes and provide back-up support to other administrative staff in the Phil Services Department.

Participate in staff meetings, professional development activities, internal committees, and cross-departmental projects as appropriate.
QUALIFICATIONS
A minimum of four years of solid administrative experience in a team oriented organization committed to excellence in supporting its clients and partners. Direct donor relations experience is highly desired. This position requires strong communication skills, both oral and written in addition to very good listening skills. A bachelor’s degree preferred.
The ideal candidate has a poised, confident, and professional style, with strong interpersonal skills for effectively representing The San Francisco Foundation in a variety of settings. Must be a proven self-starter with a track record that demonstrates a commitment to outstanding customer service. Exceptional attention to detail and follow-through in addition to proven ability to effectively juggle multiple tasks, prioritize, and meet deadlines is required.
TECHNICAL ABILITY AND SKILLS
Requires strong computer skills specifically in Microsoft applications (Word, Excel, Outlook, PowerPoint), Windows operating systems, and database applications. Must have the desire and ability to quickly learn new applications as they are introduced into the work environment and as appropriate, assist in training other team members in using these applications. Skilled in using Raiser’s Edge and/or other database programs is strongly desired.
