Perlman Music Program - Special Events Manager
The Perlman Music Program provides world class training to exceptionally talented music students. The core programs take place at a 28-acre campus on Shelter Island during the summer. The Program also has residencies in Sarasota and in Israel, and an Alumni concert series in New York. Focused summer and winter sessions are designed to provide students with a supportive and noncompetitive environment in which to develop and grow, while frequent events and concerts at The Metropolitan Museum of Art and the Neue Galerie throughout the year provide students continuity and a sense of community.
The Development Office is seeking a full-time Special Events Manager. We are seeking an energetic and responsible individual who has strong interest in special events and is ready to organize high level benefits and work in a fast paced development office. The candidate will be a member of a small 7-person team and will have the opportunity to independently run smaller events and coordinate many aspects of the larger Benefit team.
Responsibilities will include:
- Meet revenue goals for $500,000 Annual Spring Benefit, $400,000 Campaign Kick-off Benefit in the Hamptons, and $250-700,000 Annual Wine Auction; Work with Director of Development to recruit and staff Benefit Committee; Work with high-level donors to solicit gifts and strategize about events.
- Work on all daily aspects of special events including:
- Writing and editing all benefit correspondence, including solicitations, acknowledgments and program copy;
- Preparing, tracking, and reconciling special event budgets;
- Coordinating check-in at concerts and dinners;
- Designing and printing invitations; follow up phone calls to donors and prospects;
- Coordinating venue, entertainment, photography and all event logistics with vendors;
- Writing press releases and pitching event stories to press contacts;
- Sending eblasts to patrons about events; coordinating invitation mailings, guest lists and distributing briefing papers; tracking RSVP lists;
- Coordinate drafting, editing, layout, and printing of Wine Auction catalogue;
- Prepare and distribute final reports and acknowledgments for Wine Auction, Campaign Kick-off Benefit, and Annual Spring Benefit.
- Coordinate concerts series at the Neue Galerie New York and The Metropolitan Museum of Art as well as private concerts at the Founders' and patrons' homes.
- Generate ideas to grow the Benefits in coming years and create new fundraising events.
- Work closely with and cultivate relationships with high net worth individuals, board members, Co-Chairs, who serve on the Benefit Committee for the major events.
- Supervise 1-3 interns; recruit and manage special event volunteer team.
- Provide general department duties as needed; Assist with the organization of Development files and archives; Help facilitate regular mailings to Program members, donors and press contacts.
The ideal applicant must possess the following skill-set:
Professional demeanor, super organized with close attention to detail, excellent written and verbal communication skills are essential, flexibility in high-stress situations, the ability to work effectively in a fast-paced environment with a small staff, the willingness to assist with all tasks needed to ensure the success of an event.
Excellent knowledge of Microsoft Office (Word, Excel and Outlook) is mandatory.
Working knowledge of Raiser's Edge or similar database is preferred, but not required.
Must be willing to travel to and stay in Shelter Island and the Hamptons during the summer to assist at Works in Progress concerts at camp and community outreach events and benefits on the North and South Forks.
Additionally, must be willing to work 2-4 evenings a month for smaller special events throughout the year.
Must hold a valid driver's license.
Minimum of two years of Special Event and Development experience.
