Cantabile Youth Singers - Managing Director
The Managing Director position for Cantabile Youth Singers is the top administrative and operations position yet requires an entrepreneurial and hands-on orientation. This position encompasses responsibility for cross-functional strategic thinking and planning, as well as active engagement in the day-to-day operations of the organization. The Managing Director reports to the Artistic Director, works directly with members of the Board of Directors on a regular basis, and oversees all other administrative staff and contractors.
Duties
Administrative Leadership:
- Lead all administrative and operational functions
- Create, revise, and administer all independent contractor, staff, volunteer, guest artist, and venue contracts
- Update and maintain organizational policy handbook
- Maintain current organizational liability and Directors and Officers insurance policies
- Meet regularly with Artistic Director
- Meet regularly with all administrative staff members and contractors
- Attend all Board of Directors meetings
- Schedule, train, and provide management for Cantabile's large volunteer corps
- Work with Artistic Director to create Cantabile's season calendar
Finance:
- Work with Board of Directors Finance Committee Chair to create, update, and maintain the annual organizational budget
- Create return on investment reports for each aspect of the organization in order to best identify areas of improvement
- Monitor departmental budgets
Recruitment, Retention, Enrollment, and Choir Operations:
- Coordinate and lead the registration process for all choirs in January, May, and August
- Produce weekly enrollment reports for the Board of Directors during the registration periods, including information on placed, pending, prospective, and declined students, student transitions, and recruitment and retention statistics
- Monitor tuition paid, scholarships extended, and discounts taken by student, choir and division
- Coordinate and expand Cantabile's recruitment program, including, but not limited to, maintaining hard and soft files on all prospects, making personal contact with prospect families, coordinating rehearsal visits, creating recruitment events, building relationships with local music teachers and private vocal coaches, and strengthening relationships with partner organizations
- Coordinate logistics for all Cantabile workshops, retreats, concerts, and other events
Development:
- Serve on the Board of Directors' Development Committee
- Participate in the active cultivation, stewardship, and solicitation of key donors and prospects
- Work with the Board of Directors' Development Committee Chair to create and coordinate all aspects of the Cantabile Annual Fund Campaign
- Coordinate all gift acknowledgements
- Coordinate and administer all donor benefits
- Coordinate annual special event (currently a silent auction event)
- Develop all fund-raising collateral
- Alongside the Board of Directors' Development Committee Chair, build, energize, and expand Cantabile's grants program
Marketing:
- Create, expand, and implement organizational long-term and seasonal marketing plans
- Maintain Cantabile's overall web presence, including the website (using in-house tools Site Spinner Pro and Site Studio), Facebook page, and any other social media
- Coordinate print and online advertising plans
- Develop all marketing collateral (posters, postcards, programs, advertisements, etc.)
- Coordinate concert ticket production and sales
Tour Management:
- Work closely with Artistic Director to plan and execute annual tours
- Recruit and train head tour volunteers
- Work closely with tour company representatives and Artistic Director to ensure smooth, exciting, and artistically stimulating tour events
- Work with the Board of Directors Development Committee Chair and Tour Committee Chair to create and coordinate development/fundraising programs for individual tour programs
- Administer tour follow-up surveys immediately following the tour experiences to enhance the quality of planning for future tours
Day-To-Day Operations:
- Field general inquiries via phone and email at info@cantabile.org
- Update and maintain database and mailing list records
- Actively build relationships with Cantabile families by regularly attending choral rehearsals
- Produce and distribute weekly membership newsletter
- Create, update, and maintain all forms
- Produce and distribute weekly rosters for all choirs
- Create and distribute mass emails to membership through Constant Contact
- Coordinate payroll

- Ingenuity, compassion, dedication, enthusiasm, humor and energy
Academic and Professional Background
- Bachelor's degree required.
- At least 3-4 years senior administrative and operational management experience with increasing levels of responsibility. Experience with interacting with a Board of Directors and funders.
