The Young People's Chorus of New York City (YPC), resident chorus of the 92nd Street Y, Jazz at Lincoln Center and WNYC Public Radio, is a world renowned and award-winning choir specializing in music education for young people in New York City's five boroughs. Position Overview
The Special Events Coordinator (SEC) coordinates the planning, development, implementation, and wrap-up of all YPC fundraising and cultivation events, with a primary focus on its signature event that includes a concert, award dinner, and auction. S/he generates revenues through ticket sales and supports the chief executive, development staff, board members, and committees in securing sponsorships and donations. S/he also maintains all records and processes all financial transactions for his/her function.
General Position Responsibilities:
- Assist in developing event goals and support YPC's planning for all events.
- Create and maintain the calendar of fundraising and cultivation events.
- Develop, manage, and implement event action plans by function with established benchmarks, timelines, and point persons, and report on progress.
- Interact with vendors, volunteers, partners, guests, honorees, and donors.
- Support Development staff and volunteers in securing sponsorships and other donations.
- Help coordinate involvement by YPC departments and vendors in producing events.
- Develop, maintain, and update standard operating procedures for areas of responsibility.
- Coordinate the production of and help draft and/or edit all materials including bios, presentations, acknowledgement letters, invitations, advertisements, journal/program and other publications, and auction website; also draft speeches/remarks.
- Collaborate with the Communications Specialist to develop publicity materials.
- Coordinate guest/attendee relations.
- Create and maintain all guest lists and assist with seating arrangements.
- Develop and maintain a database for electronic tracking and registration for events.
- Handle the acknowledgement process for events' donations.
- Maintain hard copy and electronic files and databases, develop and produce financial and other event status reports, and process check requests, purchase orders, and other event-related fees. Assist with monthly reconciliations with the general ledger.
- Other responsibilities, as assigned.
Qualifications/Requirements:
- Bachelor's degree or a combination of education and experience.
- 5-plus years of experience in special events coordination or equivalent combination of education and experience.
- Proven ability to work independently as well as in teams.
- Superior attention to detail.
- Exemplary time management and communications (oral/written) skills.
- Experience with Microsoft Access or with an Access-based donor software program.
- Knowledge of the NYC arts/youth funding community a plus.
