Program Associate

Jewish Community Federation
San Francisco, California

Jewish Community Federation - Program Associate

The Program Associate is a member of JCF’s Philanthropic Services department. The Program Associate is responsible for providing administrative support to the Jewish Community Federation and Endowment Fund’s supporting foundations and certain donor advised funds, and supporting the Chief Endowment Officer, Director of Philanthropic Services and a Philanthropic Advisor.

ESSENTIAL FUNCTIONS OF THE POSITION

The administrative aspects of the position involve planning for certain supporting foundations’ annual (or more frequent) meetings and managing grant processing and financial transactions in between meetings. For the supporting foundation meeting process, this involves working with potential grantees to submit complete proposals on time, reviewing and analyzing proposals to ensure they are clear and comprehensive, formatting proposals, creating and distributing board binders for meetings, taking minutes at meetings, and providing administrative and program support during and after the supporting foundation meetings. For the grants processing work, this position requires substantial work with the GIFTS database to manage proposal acceptance through grant approval (or denial) and distribution of grant checks to grantees. This position requires general knowledge of financial statements and banking procedures and the ability to work collegially with accounting staff to ensure that financial reports be accomplished in a timely and accurate manner. Other responsibilities: coordinating calendars, scheduling meetings and phone calls, arranging travel plans, organizing meetings and special events that support JCF’s goals, and daily phone and e-mail interaction directly with grantees, grant seekers, clients of the Philanthropic Services department, and donors to the Jewish Community Federation and Endowment Fund.

In addition to program administration, the Program Associate will have opportunities to engage in substantive grantmaking activities through the following: direct outreach to potential grantees related to their proposal submission, review and response to letters of inquiry submitted by grant seekers; some due diligence tasks for potential grants; managing and writing grant recommendations for supporting foundation meetings; and researching grantmaking opportunities for clients and monitoring grantees’ activities. Beyond working with program staff and grantees, the Program Associate works collaboratively with JCF’s accounting team, development team and marketing team. Additionally, the PA works as a part of a small team of Foundation Administrators that provide each other with mutual support on grants processing, meeting and event coordination, and special initiatives.

The successful candidate is a confident, analytical, and agile problem-solver with the ability to handle several programmatic and administrative tasks simultaneously, while maintaining poise and patience.

EDUCATION OR TRAINING EQUIVALENT TO:

  • BA/BS degree required. An academic degree in a related field and an interest in philanthropy and Jewish community issues are highly preferred.
  • A minimum of two years’ work experience is required, preferably within an administrative and programmatic capacity.
  • Previous work experience within a nonprofit or grantmaking foundation is a plus.

SPECIAL QUALIFICATIONS (SKILLS, ABILITIES, LICENSE):

  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Knowledge of GIFTS database and Raiser’s Edge database is a plus
  • Excellent analytical and communications skills, namely writing and oral presentation skills.
  • A strong team player with a diplomatic, professional manner, and a sense of humor.
  • The successful candidate also has a demonstrated educational background and/or professional interest in philanthropy and the Jewish community.

We offer:

A great location in San Francisco's financial district (unless otherwise stated), close proximity to all public transportation and great restaurants, excellent benefits — medical, dental, vision, vacation, sick pay, holidays (including Jewish), retirement plan and more.
