Gift Planning Coordinator

World Wildlife Fund - Gift Planning Coordinator World Wildlife Fund (WWF), the world's leading conservation organization, seeks a Gift Planning Coordinator to handle all aspects of high volume marketing activities to generate more leads for fundraising officers and raise awareness of gift planning opportunities among WWF members. Coordinates processes that ensure the efficient and cost effective execution of the annual marketing plan. Creates and maintains accurate database records, files and samples of all marketing efforts. Tracks and reports results, as well as provides accurately and timely responses to the gift planning inquiries which result from mass marketing efforts.

Major Duties & Responsibilities

  • Coordinates gift planning cultivation and marketing mailings in accordance with detailed annual mail schedule-collaborates with appropriate staff and vendors to ensure mailings are executed in a timely and efficient manner. Serves as unit point person for gift planning marketing projects and, at the direction of the supervisor, represents unit's needs as principal liaison with membership and analytical staff on mass marketing matters. Tracks overall member response and inquiry rates from various marketing packages, runs queries, downloads and manipulates data for reporting, analysis or mail purposes using SAS or TA systems.
  • Creates and maintains accurate database records on all mass marketing activities, including verifying correct uploading of information regarding mailings and precise coding of all efforts and responses. Generates initial response, and then assigns all inquiries to appropriate member of gift planning unit for cultivation.
  • Corresponds with donors and prospects by phone and mail, ensuring appropriate coding and general maintenance of those account records to reflect most recent activity/interaction. In addition to providing routine information via standardized responses, will also answer commonly asked questions or provided an individualized detailed responses to donors - by phone or mail - when appropriate.
  • Develops and implements systems to ensure that copy is proofed and tracked through the internal approval process, that all components of a mailing are correctly coded and tracked for accurate testing and results measurement. Maintains detailed and complete marketing sample books and electronic files. Coordinates with membership to monitor costs against budget for each project and with Gift Planning Team Coordinator to monitor overall actual marketing costs against the Gift Planning budget.
  • Generates customized letters and maintains standard template correspondences, recommends and executes edits when appropriate, orders and maintains a library of frequently used gift planning informational materials, and serves as liaison with outside vendor to update and maintain Gift Planning website. Drafts and edits copy for basic marketing efforts such as newsletter advertisements and simple package inserts promoting legacy giving.
  • Performs other duties as assigned.

Working Relationships

  • Internal: Daily contact with a variety of staff to coordinate activities, and obtain and disseminate information.
  • External: Daily contact by telephone and correspondence with WWF donors and prospects. Will interact with trust officers and attorneys to obtain or provide information regarding current planned gifts. Will have contact with vendors to coordinate mailings and other gift planning activities.

Minimum Requirements

  • Education/Experience: A bachelor's degree or equivalent experience is required. Position requires a minimum of 2 years professional work experience supporting Development functions.

Skills and Abilities

  • Strong Microsoft software package skills to create documents, reports and mail merges. Knowledge of database packages is strongly preferred.
  • Strong organizational and analytical skills and eye for detail.
  • Able to be flexible and work in a changing environment. Able to work with all levels of internal management and staff as well as outside clients.
  • Interpersonal skills that require empathy for donor situations, and a pleasant friendly style to handle customer complaints with patience. Enjoys working with people.
  • High standard of ethics, assuring discreet handling of donor records and follows the model standards of practice for gift planners.
  • Proof and edit documents; effective writing necessary to prepare own correspondences.
  • Take initiative, prioritize, complete work with minimal supervision and meet deadlines.
