GIFTS® and Essential GIFTS®

Revised April 2007

This supplemental user information is applicable to all GIFTS and Essential GIFTS users who have the Foundation Center Export Report in their standard reports library. You can use this report to create an electronic file for exporting your grants information to the Foundation Center.

Through GIFTS comprehensive reporting tools, foundations can export grants data from your reports library directly to the Foundation Center. With GIFTS you can ensure you are communicating the most accurate and up to date grant information to the foundation center and the philanthropic community.

Instructions to create an export file for the Foundation Center.

Please also refer to page 64 of the GIFTS 6 Reports Guide, which gives full instructions, including which data is exported.

  1. Go to the Reports view.
  2. From the Requests folder, choose the Foundation Center Export Report.
  3. Use selection criteria to specify the date range of the grants you wish to include in the export.
  4. Click Run Report. The report is generated and displayed using the Crystal Reports viewer. Please note that since this file is intended for export, it is not formatted for printing.
  5. When the report has finished processing, click the Export button on the Crystal Reports viewer toolbar located at the top of the report. You are prompted to choose a file format and destination for the export.
  6. Choose Separated Values (CSV) as the format and Disk File as the destination. Click OK.
  7. Ensure that a comma is in the Separator > Character field, and that a double quote ( " ) is in the Delimiter field. Then, click OK. You are prompted to specify whether or not you want to preserve the number and date formats used in the report.
  8. Enable the options to preserve the number and date formats, and click OK. You are prompted to provide the filename and location for the export file.
  9. Enter the filename and location, and click OK. The export file is saved, and you can transmit it to the Foundation Center.
