APPLICATION GUIDELINES

The D.V. and Ida J. McEachern Charitable Trust was established in 1969 to help give a better start in life to all children, both educationally and physically. Most grants are made to social service agencies addressing basic human needs for children and youth. The Trust is also interested in providing creative and positive opportunities to enhance the lives of our region's children through a variety of artistic and cultural programs.

The Advisory Committee prefers proposals from groups that clearly describe how their program makes a positive difference in the lives of children, provides a unique service, or addresses problems that are not being met by other agencies in the area.

While the Trustees recognize the need for organizations to raise administrative, overhead, and training expenses, Grants will be made solely for capital projects and items of immediate and direct service to children.

Grant Range:

$1,000 to $80,000.
Average $15,000 to $25,000.
Annual average: $700,000.


When to Apply

Spring Cycle: March 8
Fall Cycle: September 8
Winter Cycle: December 8

Full proposals must be postmarked by the above dates. Early submission is welcomed and encouraged!


Grant Organizations Should:

Request capital support only. (McEachern grants will generally not exceed 5% of a capital campaign budget.)

Provide services to a broad cross-section of the population up to age 18.

Be established for at least five years. (Exceptions may be made for groups with strong community leadership and reputation, offering unique enrichment programs for children.)

Serve the greater Puget Sound region.

Have a secure and diverse funding base, with a majority of budget income derived from non-governmental sources.


Policies

Restrictions: Grants will generally not be made to endowment campaigns, individuals, private schools, public schools, day-care programs, political candidates, or religious institutions.

Playgrounds and Vans: The Trust will consider a maximum grant award of $5,000 for vans and $4,000 for playgrounds if the fundraising effort is community-based and located in an underserved area. These requests may be submitted throughout the year; it is not necessary to wait for a proposal cycle.

Sitting-Out Period: Recipients of grants ranging from $5,000 to $40,000 may reapply after three full years. (Example: funded in fall 2009; sit out 2010, 2011, and 2012. Reapply fall 2013.) Recipients of grants greater than $41,000 must sit out for four full years.

Small Grants: Groups may apply for grants less than $5,000 several years in a row. After receiving four grants of $5,000 or less, groups are asked to sit out for a full two-year period. (Example: funded in spring 2010; sit out 2011 and 2012; eligible to reapply spring 2013.)


Application Process

There is no letter of inquiry process. If your project fits the guidelines, submit a proposal which includes the following information. Narrative must not exceed 4 pages. (Budgets & attachments not included.)

  • Organizational background and history.
  • Current organizational mission statement and objectives.
  • Definition of the project for which funds are requested:
    • Description of the problem being addressed
    • Project goals
    • Specific project activities or strategies
    • Project timeline and work plan
    • Evaluation process to measure project's effectiveness.
  • Itemized project budget.
  • Sources of project income, current and anticipated.
    Please provide information describing how your Board is dealing with the impact of the current financial crisis on your organization.
  • Attachments to the proposal should include:
    • IRS 501(c)(3) determination letter.
    • Most recent approved annual organizational budget, or a copy of the most recently audited financial statements.
    • List of Board of Directors, officers, and their affiliations.
    • (Optional) You may provide any campaign materials summarizing your project if they are available at the time of application.
