Application Process

Grant applications are accepted March 1st through April 30th. This time period applies to all applicants INCLUDING invited Public and Independent Schools.

The application should be as brief and concise as possible. There are no forms to be requested from this office. The application should address the need(s) of the organization, the costs associated with the item(s) requested, the amount requested, the status of any fundraising efforts, and other sources of potential funding.

  • In the case of multiple item requests, a list in priority order with per item costs should be attached.
  • Applicants for grants related to real estate acquisitions or major facility additions must be prepared to demonstrate that comprehensive due diligence has taken place prior to application. Where applicable, this includes complete and thorough inspection of the property to be acquired including an assessment of infrastructure and mechanical systems, environmental issues, regulatory issues (ADA requirements, fire safety, zoning, required permitting, etc.) as well as financial planning for the project, including means of servicing debt and funding operating costs. Requests for funding purchases of real estate should include an appraisal of the property.

  • In the case of requests for construction/renovation funding , a construction schedule and a contractor's estimate should be attached. Requests for leasehold improvements will only be considered if the requesting organization has a lease in place for a minimum of five (5) years with renewal options for future extensions of at least five (5) additional years.

  • It is required that costs quoted be as accurate as possible. Figures will be checked as part of the initial review and “ballpark figures” will not be acceptable.

  • Applicants must also forward a copy of the organization's letter from the Internal Revenue Service granting tax exempt status under Section 501(c)(3) of the Internal Revenue Code and further confirming that the organization is not a private foundation within the meaning of Section 509(a) of the Code. If an organization in connection with past applications has already submitted this letter to us, there is no need to forward another copy, only to simply state this fact within your application. Applicants that are not 501(c)(3) organizations but claim tax exemption must state the basis for the assertion. Organizations seeking support from these Foundations should be aware that before considering funding, we usually require an organization to have a demonstrated track record of at least three years.

Once an application is received, it is reviewed internally. Upon completion of this review, a decision will be made as to the status of the application. If may be denied on the basis that it does not fit our guidelines. It may require more information which we will specify and request from you. It may necessitate a site visit as explained later. Or, if the application is deemed complete without need for further information, it may be referred directly to the Distribution Committee for decision at our Annual Meeting in November. In all of the foregoing scenarios, you will be advised of the status in writing in a timely manner.

Requests for out of cycle grants and early commitments are considered on an extremely limited basis and only under the most extraordinary circumstances.

No applications will be accepted via facsimile or e-mail. Applications must be postmarked no later than April 30th, or in the case of April 30th falling on a weekend, then the first business day thereafter. Applications received after the deadline will only be accepted, if in the sole discretion of this office, the reason for the lateness is due to extraordinary circumstances. If an organization knows ahead of time that a contemplated application will be late, that organization is strongly encouraged to make this known to us as soon as possible.
