The Accounting Manager is a key member of the Finance and Accounting team, responsible for providing support to the Finance Director in both the monthly and year-end financial closing process and ensuring that all financial information is appropriately and accurately recorded in the accounting system. Primary responsibilities include preparing financial statements, variance analysis, budgets and forecasts. The Accounting Manager will also improve upon current procedures and determine methods to better leverage system tools to streamline existing processes, enhance controls and the quality and accuracy of financial data. Must have a strong understanding of nonprofit accounting principles and practices and financial controls.
Month End Closing
- Manage the monthly accounting close process and meeting reporting deadlines.
- Review and approve daily and monthly journal entries.
- Prepare monthly financial statements, supporting account analysis, and budget to actual variances.
- Prepare monthly revenue recognition schedules and applicable journal entries.
- Research and answer financial questions raised by personnel within the organization.
- Reconcile AMEX statement with NetSuite and Nexonia (time and expense reporting system) and process employee expense reports.
Accounts Receivable & Revenue
- Manage all contract, product and service invoicing and ensure customers are billed accurately and timely.
- Analyze accounts receivable aging reports to determine if there are any issues.
- Manage and coordinate follow-up with customers regarding outstanding payments.
- Prepares the revenue recognition for restricted grants and contracts. Includes the following:
- FDO Product
- FIN Product
- Record Project Codes Allocations to Invoices, Cash Sales, Credit Memos
- Final Review & Allocation of Project Codes to Income Statement
- Restricted Grants, Special Projects & Contract Income
- Review credit card chargebacks
- Review CyberSource invoice for payment
- Review and approve vendor invoices for payment.
- Review printed checks for disbursement.
- Review ACH information from vendors.
- Analyze expenses and contracts to look for cost savings opportunities.
Budgeting and Forecasting
- Assist with developing the annual budget.
- Assist the Director of Finance in updating the monthly forecast of revenues and expenses.
- Prepare profitability analysis for programs, products and services.
- Prepare monthly cash flow projection.
- Prepare year-end schedules and closing entries.
- Prepare year-end workpapers as assigned by the Director of Finance or requested by the external auditors.
- Review year-end schedules and journal entries prepared by the accounting team.
- Assist the Director of Finance with the completion of the Audited Financial Statements and supporting notes.
- Act as back-up to the Finance Director to ensure accounts are adequately funded.
- Approve funds transfers based on cash flow.
- Work with Accounts Payable Administrator and reviews 1099s (prepared by Accounts Payable Administrator).
- Review state sales tax returns prepared by accounting associate.
- Review the investment schedule for Commonfund; reviews journal entries for interest, dividend, and realized and unrealized gains and losses.
- Review the reconciliation of the Development system reports to the NetSuite financial reports.
- Provide leadership, coaching, and performance feedback to assigned staff.
- Perform other duties and special projects, as assigned.
- Reviews and approves state charitable registration filings.
- Participates in the workmen compensation insurance audit as needed.
- Assist with the preparation of budgets and financial reports for projects and donors including amounts spent on special projects and for the regional offices.
- Review and approve journal entries as needed.
- Assist the Facilities and Office Services Manager with completing insurance forms.
- Review and approve Monthly Vendor Bills in NetSuite
- Manage Project Codes in Netsuite, Nexonia & Centerpiece
- Help facilitate month-end close with colleagues
- Maintain loan schedule, payments and update accordingly
- Maintain deferred rent schedule and update in GL
BS in Accounting or Finance. CPA or MBA preferred. Minimum 3 years supervising/managing staff in an accounting or finance environment. 5 to 7 years of relevant accounting experience in non-profit organizations. Proficiency with accounting system software, experience with NetSuite, Adaptive Insights and Nexonia a plus; Advanced Excel skills including pivot tables and vlook-up; Microsoft Office Suite. Exceptional analytical, quantitative, forecasting, and financial modeling skills. Ability to work on several projects simultaneously and to thrive in a deadline-based environment. Outstanding solution driven problem solver who is a self-starter with a high degree of integrity. Demonstrates flexibility and timely responsiveness to changing priorities in a fast-paced environment. Excellent presentation, written and verbal communication skills.
